The limits that actually decide it
Everyone compares the submission count, and for a small service business it is almost never the thing that runs out. These are the four numbers worth looking at.

Work out your real submission count first
Take your crew size, times jobs per person per day, times about 22 working days. Three people doing one job sheet each per day is 66 a month. Five people doing two each is 220, which needs Bronze. Most owners guess far higher than the real number and pay for a plan they do not need.
Where the free plan actually breaks
- The 5 form limit. Easy to hit if you build one form per job type. Build one form with a job-type dropdown instead and you will stay under it for a long time.
- 10 payments a month. The moment you start taking deposits through a form, this is what runs out first.
- 10 signed documents a month. Same story if you move job approvals or change orders onto signatures.
- Jotform branding stays on the form. Removing it needs Bronze. Whether that matters depends on whether customers see the form or only your crew does.
That last point is the useful split. Forms your crew fills in, like job sheets and checklists, can carry Jotform branding forever without anyone caring. Forms your customer sees are the ones worth paying to brand.
Why it is not priced per user
Jotform charges on submissions and storage rather than seats. Putting a fifth crew member on it costs nothing, which is the reverse of how Connecteam, Housecall Pro and Jobber all price. For a growing crew that matters more than the headline number, and it is why forms are usually the cheapest part of a stack.

What we have not done
We have not run Jotform for a full month with a live crew. Prices and limits are read directly from the vendor's pricing page and the analysis is about which limit binds first, not hands-on use.

Bronze is $39 a month, or $34 a month if you pay annually, and lifts you to 1,000 submissions, 25 forms and 100 payments. For most service businesses under ten people, Bronze is the ceiling of what you would ever need.
Do I pay per employee?
No, and that is the useful part. Jotform charges on submissions and storage, not seats, so putting your whole crew on it costs nothing extra. That is the opposite of how crew apps and field-service platforms price.
